Case Study

THE CUSTOMER

Unlimited Potential is an ABA practice based in Norwalk, California that provides individualized, family-centered behavioral services for children, adolescents, and adults with autism and other developmental or behavioral needs. Director Melvina Session, MS, BCBA, runs Unlimited Potential with a mission rooted in service and inclusion, they work with individuals to build independence and develop meaningful life skills. Unlimited Potential highlights a bilingual, team-oriented approach designed to make services accessible and culturally responsive for the families they serve.

THE PROBLEM

As Unlimited Potential continued to grow, their team found that relying on multiple disconnected systems and manual workflows was becoming increasingly difficult to manage. Staff were spending valuable time navigating administrative hurdles instead of focusing on clinical care and day-to-day operations. They faced several ongoing challenges:

  • Manual data collection and reporting: Staff described setting aside entire days to complete manual data entry and reporting in spreadsheets, creating significant administrative burden and taking time away from client care.
  • Disconnected systems and limited visibility: Using multiple platforms alongside manual processes made it difficult for staff to access real-time information, monitor progress efficiently, and maintain clear visibility into reporting and clinical data.
  • Compliance and operational complexity: Serving clients across rural communities created additional scheduling and compliance challenges, including the need to accurately track drive time, breaks, and other labor requirements.
  • Difficult-to-learn systems: Existing platforms were often overly complicated and difficult to train staff on. The team needed a system that was intuitive, straightforward, and capable of simply getting the work done without adding unnecessary complexity.

For a growing practice focused on delivering quality care across diverse communities, these operational inefficiencies were creating unnecessary strain on staff time, workflows, and scalability.

“Office Puzzle allows our practice to affordably and sustainably get from point A to point B.”

THE SOLUTION

After demoing many ABA practice management platforms, the Unlimited Potential team chose Office Puzzle because they needed a platform that was practical, intuitive, and capable of simplifying daily operations without adding unnecessary complexity. The transition helped centralize workflows, reduce manual work, and improve visibility across the organization.

Reduced Administrative Burden

One of the biggest improvements came from eliminating time-consuming manual processes.

  • Reduced reliance on manual Excel tracking and data entry
  • Streamlined documentation and reporting workflows
  • Less time spent compiling data across multiple systems
  • Improved efficiency for both clinical and administrative staff

By moving away from disconnected workflows, the team was able to spend less time on administrative tasks and more time focused on supporting clients and staff.

Centralized Systems and Better Visibility

Office Puzzle helped consolidate multiple operational processes into a single platform, improving accessibility and communication across the practice.

  • Centralized scheduling, documentation, and reporting
  • Improved visibility into client and operational data
  • Easier access to information for supervisors and staff
  • More efficient coordination between team members

Having information in one place created a more connected workflow and reduced the confusion that came from switching between systems.

Support for Compliance and Rural Service Delivery

Because Unlimited Potential serves clients across a diverse geographic area, including rural communities, operational flexibility and compliance tracking were critical needs.

  • Easier tracking of drive time between sessions
  • Improved documentation of breaks and staff time
  • Better support for labor and scheduling requirements
  • More efficient management of staff schedules across locations

These capabilities helped reduce administrative stress while supporting more accurate operational tracking.

Simpler Training and Everyday Usability

The team needed a platform staff could learn quickly and use confidently without extensive training or complicated workflows.

  • More intuitive and user-friendly interface
  • Easier onboarding for new staff members
  • Reduced frustration with day-to-day tasks
  • Workflows designed to support how clinicians actually operate

Instead of forcing staff to adapt to rigid systems, Office Puzzle provided a streamlined experience that made daily responsibilities easier to manage.

A Partnership-Focused Experience

Beyond the software itself, Unlimited Potential valued having a responsive team that listened to feedback and supported their operational needs as they continued to grow.

  • Responsive customer support
  • Ongoing platform and feature improvements
  • Collaborative approach to problem-solving
  • A system built with ABA practices in mind

For Unlimited Potential, the switch to Office Puzzle was about more than replacing software. Melvina describes Office Puzzle as being “part of the team” and truly “helping with the mission” that Unlimited Potential had set out to achieve.

RESULTS: LESS FRICTION, MORE EFFICIENCY

By switching to Office Puzzle, Unlimited Potential achieved:

  • Reduced manual administrative work
  • Improved operational visibility and compliance tracking
  • A more scalable, staff-friendly workflow system

Data collection, schedule, bill, and chill…Office Puzzle fits the bill!”

Melvina shared that “we spent years trying to find the right software platform to fit our needs.” What stood out most to the Unlimited Potential team was having a system that simplified everyday operations instead of creating more administrative work. By consolidating workflows, reducing reliance on manual spreadsheet tracking, and making it easier for staff to access the information they needed, the platform helped remove many of the operational frustrations they had experienced with previous systems.

With fewer operational obstacles and a system designed around the way their team actually works, Unlimited Potential was able to spend less time managing processes and more time focused on delivering quality care.
